PROMOTION EXPECTATIONS & REQUIREMENTS

IMPORTANT Dealers may not publicly announce the location of this event or their participation on any social channels until It is announced by Manhattan Vintage on July 1st on social media. 

  • Post the official show promo image at least 3 weeks prior to the show. You will receive this image on July 1st, 2025. 

  • List the show, show date and Eventbrite ticket link on your Instagram/TikTok bios.

  • Promote items that will be exclusively available at the show. Please do NOT sell these items in advance.

  • Tag @thevintageshow on all social promotions  (photos, reels, and stories).

PLANNING YOUR SPACE 

Each dealer will have approximately 100 square feet (10’x10’) of space. Note that no particular space is assigned. The size, location and configuration of individual spaces may vary. The location is outdoors but covered. Be prepared for sun and wind. If there is rain, we will provide tents for spaces at the perimeter.

Space setups are required to adhere to the following guidelines:  

  • 6’ height limit for all dealer spaces

  • No side walls, pipe-and-drape panels, or partitions are permitted; free-standing grid walls that do not exceed 5’ are permitted.  

  • No hanging, mounting or affixing merchandise, display items or signage to any building surfaces, including but not limited to windows, columns or walls; no tape or glue on the floor.

  • All merchandise, mirrors, mannequins and other items  must not exceed the allocated space footprint

  • Without written approval, a space may not be shared, assigned, or sublet to other Dealers or third parties.

  • Dealer seating must be kept within the perimeter of Dealer’s assigned space.

  • We may request changes to the set-up, presentation, or configuration of a Dealer’s display during set-up or at any time.

  • Solicitation outside of your space is not permitted. 

  • Dealers are limited to 2 people per booth and will receive 2 dealer badges. These are for you + 1 supporting team member to help you to staff the show. If you only need 1 badge, please let us know. These badges are NOT for friends. 

  • We will provide the space plan with your location (The Dealer Map) on Jul 1, 2025 

  • Dealers are required to have any tables properly covered with floor-length, wrinkle-free, fire-retardant tablecloths

  • No visible backstock, boxes, or storage elements exposed to shoppers. 

  • All Display items, regardless of height, must be properly secured to ensure the safety of all personnel and guests. 

  • For maximum transparency, all items must be tagged with a price. All items should be tagged with your brand name on each tag. 

  • Signage indicating “sale”, “XX% off” or other discounts on goods are strictly prohibited and will be removed.

  • You are welcome to bring your own brand signs but we do not allow vinyl signs or banners. 

  • Dealers must offer and have a visible return policy for customers.

  • No wire hangers! Please use coordinating hangers. 

  • Dealers may not bring any pets  to the show without prior written approval.

LOAD IN

SUNDAY, JULY 27  LOAD-IN 

  • PLEASE ONLY ARRIVE AT YOUR SCHEDULED LOAD IN TIME (you will receive this time via the email on 7/21). 

  • We will have porters to help with the load-in process. They are available on a first come, first serve basis and you sign up when you arrive. Porters are a shared resource and are available for 10-15 minutes only. 

  • Parking is available at the Parrish during the event.

  • Dealers are required to check in BEFORE loading in. 

  • 2 STAFF BADGES are provided at check-in All Dealers and staff members must wear their badges at all times.

SHOW TIME

Location: The Parrish Museum of Art | 279 Montauk Hwy, Water Mill, NY 11976 

Open to the Public:

11am – 6pm / Sunday, July 27, 2025

Load-In/Out:

Load-In: 7:00 am – 10 am/Sunday, July 27, 2025  

Load out: 6:00 pm – 9 pm /Sunday July 27, 2025

THINGS TO NOTE:

  • A clippable Brand Sign with your company name and social media handle will be provided to you  at the end of load-in by an MV team member

  • Complimentary WiFi will be available for dealer use only. We will provide you with a password prior to the show. Please do not share with customers as the number of available IP addresses is limited and we want to ensure all devices necessary for you to conduct business

  • A 3x5 storage space will be available to each dealer. 

  • We will have two (2) steamers available as a courtesy for any last-minute steaming available in the fitting room. 

  • Dealers must be consistent with ALL shoppers trying on any garments or items. If you require an ID or credit card to try on merchandise, you must apply this practice to ALL shoppers.

  • Please DO NOT eat meals in your space or in aisles. Snacks are permitted. Food will NOT be available for purchase at the show. 

  • Dealers and their staff cannot sell, serve or sample food or alcoholic beverages on the premises. 

  • If you suspect theft, please find a security guard or member of the Manhattan Vintage Show team immediately. 

  • Manhattan Vintage is a community of professional Dealers and together we agree that the success of the show requires all Dealers to act in a courteous and professional manner with respect to one another and all staff working at the show. Please alert a member of the Manhattan Vintage Show staff if you have any issues with other Dealers or customers so we can address them in the most timely manner possible. 

IT’S A WRAP

  • Load-out begins at 6:00PM and MUST be completed by 9:00PM. 

  • To ensure the best show experience, breaking down or packing up prior to 6:00PM is NOT permitted. 

  • Please be sure to take all items with you when you leave. Items left behind will be discarded.
